Your privacy is important to us. This privacy statement explains what personal data Weston-super-Mare Chamber of Commerce collects from you, through our interactions with you and how we use that data.

Data protection laws set out a number of bases on which organisations can collect and process personal data. We use the following:

  1. Consent – in some cases, we rely on your consent to collect and process data. An example is when you agree to receive our newsletters by email.
  2. Legal compliance – we may need to collect and process your personal data if required by law.
  3. Legitimate interest – in some cases, we use your data in accordance with our need to run Weston-super-Mare Chamber of Commerce efficiently and effectively and serve you as a member.

What information does Weston-super-Mare Chamber of Commerce collect?

Weston-super-Mare Chamber of Commerce collects and processes the following information about you:-

  • First name
  • Surname
  • Telephone number
  • email address
  • Address

This information is collected from you when you join the Chamber, either via the joining process on the website www.westonchamber.org.uk or by completion of a hard copy application form.

Your details are stored securely on the website of Weston-super-Mare Chamber of Commerce hosted by Eco Hosting (www.ecohosting.co.uk) and using software provided by Membership Works (www.membershipworks.com).

Your first name, surname and email address are stored on the Weston-super-Mare Chamber of Commerce MailChimp secure database (www.mailchimp.com)  for the purposes of distributing the regular newsletters and event invitations.

If you register for an event via Eventbrite (www.eventbrite.co.uk) the first name, surname, telephone number and email address provided on registration will be stored on that secure server as a record of the event.

When you use a social media platform, details about how your personal information is held, is described within the relevant social media policy, such as Facebook or Twitter.

When you contact us via email, we will retain your email and our response to it for as long as the business issue remains. After this, the information will be confidentially destroyed.

When you contact us via post, we will retain your letter/postal address/personal information and our response to it for as long as the business issue remains. After this, the information will be confidentially destroyed.

Why does Weston-super-Mare Chamber of Commerce process personal data?

Weston-super-Mare Chamber of Commerce needs to process data to manage its membership records and collect subscriptions.  It needs to process your personal data to communicate with you and keep you up to date about activities and events.

Weston-super-Mare Chamber of Commerce has a legitimate interest in processing personal data before, during and after the end of the membership relationship.  Processing membership data allows the organisation to maintain accurate and up-to-date membership records and contact details.

Who has access to data?

Your information may be shared internally with Executive Committee members of Weston-super-Mare Chamber of Commerce.

If you attend a networking event your information will be shared with other attendees at that event for networking purposes unless you request that we do not share your data.

Weston-super-Mare Chamber of Commerce will not share your data with any third party without your consent.

Our Use of Computer Cookies

The rules on the use of computer cookies mean we need to ask for your consent to send them to your computer.

Cookies are small files stored on your computer which hold information specific to your use of particular websites.  In our case, cookies allow the Affinity server to store your preferences so that the next time you visit our site the pages are tailored to your preferences, without you having to express those preferences again. You can usually modify your browser to prevent this happening. The information collected in this way could be used to identify visitors to our site, although as a matter of strict principle we do not do so.

A good example of the use of a cookie would be that if you give us consent to store cookies on your machine now, we will not have to ask you again because our server will know from information stored in your cookie that consent has been given already.

For how long does Weston-super-Mare Chamber of Commerce keep data?

We will hold your personal data for the duration of your membership with us.  If your membership is not renewed for any reason and we have not received payment of your subscription within three months of the due date, we will remove your data from our membership records and will not contact you.  Your data will also be removed from the MailChimp database and you will no longer receive newsletters from the Chamber.

Your rights

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request;
  • require Weston-super-Mare Chamber of Commerce to change incorrect or incomplete data;
  • require Weston-super-Mare Chamber of Commerce to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
  • object to the processing of your data where Weston-super-Mare Chamber of Commerce is relying on its legitimate interests as the legal ground for processing; and
  • ask Weston-super-Mare Chamber of Commerce to stop processing data for a period if data is inaccurate or there is a dispute about whether or not your interests override the organisation’s legitimate grounds for processing data.
